  • Switch to a client portal like Dubsado or Notion. Everything — contracts, invoices, messages — in one place. Set office hours, and log in when YOU choose.

  • Use messaging apps with clear availability. Quick chats on WhatsApp or Voxer? Perfect, but let clients know your reply times: “I respond between 10am-3pm weekdays.”

  • Automate replies and FAQs. Set up auto-responders or a pinned post: “Thanks for your message! I’ll reply during office hours. Check our FAQ here: [link].”

  • Replace long emails with video or voice notes. Loom or Voxer feels more personal and saves time.

  • Use a booking system for calls. Skip the back-and-forth and let clients book directly within your available hours.
